AI integration
Give your software a little AI-ntelligence.
According to the Office for National Statistics, 35% of UK businesses with 10 or more employees reported using at least one AI technology in June 2026.
That is a significant number, especially considering AI has only really become mainstream over the last couple of years. These businesses use AI to find practical ways to make their businesses more efficient, reduce manual work and get more value from the systems and data they already have.
And you can too.
You might want to automate those repetitive admin activities, make it easier for your customers to connect with your business, process documents without someone manually entering every detail or provide interactive ways for employees and clients to access support.
The possibilities are wide ranging, but in order to see real value, you need to make sure AI fits effortlessly into your existing business environment and one way to do that is through AI integration.
We can help you connect AI powered platforms with your existing software, databases and workflows, giving you a practical way to put AI to work without the time or costs associated with starting from scratch or replacing the systems you've already invested in.
How is integrating AI into my existing set up going to help my business we hear you ask...
Well, it could be one, multiple or all of the following:
| Benefit | How it helps | Example platforms |
|---|---|---|
| Automate repetitive tasks | Reduces time spent on routine admin, moving information between your systems and processing incoming requests. | Microsoft Power Automate, Azure AI services |
| Make better use of your data | Helps your employees find relevant information and generate insights from your existing business data. | ChatGPT, Microsoft Copilot |
| Improve customer experiences | Provides quicker responses to common questions and makes customer support available outside normal working hours. | Intercom, Tawk.to |
| Reduce manual errors | Extracts information from invoices, forms and other documents, reducing the need for manual data entry. | Azure AI Document Intelligence |
| Enhance existing software | Adds AI capabilities to your CRM, ERP or bespoke applications without replacing your existing systems. | OpenAI API, Microsoft Azure AI |
| More time back | Assists with summarising information, drafting communications and preparing reports, allowing employees to focus on other, more pressing areas. | Microsoft Copilot, ChatGPT |
| Manage growing workloads | Helps manage increasing volumes of enquiries, documents and internal requests without a corresponding increase in manual effort and indeed, headcount. | Intercom, Azure AI services |
During the discovery phase, we can assess your current environment and give you a clear and full understanding on where the opportunities for AI integration will be most impactful, depending on what you're trying to achieve.
With the good must come the bad and integrating AI into your current environment poses plenty of risks, especially if it is done by inexperienced developers or individuals with no experience of the software you intend to integrate the AI platform with. Let's take a closer look at what they are and how you can manage them:
| Risk | What it means for your business | How to manage it |
|---|---|---|
| Data security and privacy | AI systems may process sensitive customer, employee or commercial information. Sending data to an unsuitable platform could expose confidential information or breach your data protection requirements. | Choose appropriate platforms, control what information is shared and implement suitable access controls and data protection measures. |
| Inaccurate or misleading results | AI can generate convincing answers that are incorrect, incomplete or based on misunderstood information. | Validate outputs, test against real-world scenarios and introduce human checks. |
| Integration problems | Your chosen AI platform may not work as you'd like with your existing software, databases or workflows. | Assess APIs, data formats, compatibility and technical specifications before committing to an integration. |
| Unexpected costs | Usage based pricing, API calls, licensing and ongoing maintenance can make an initially affordable solution more expensive as demand grows. | Estimate usage, establish budgets and monitor costs as the solution develops. |
| Over reliance on AI | Giving AI too much control over important decisions can lead to inappropriate actions or undetected errors. | Define clear boundaries, retain human oversight and require approval for sensitive or high impact actions. |
| Poor quality data | Incomplete, outdated or inconsistent information can undermine the quality of AI generated answers and recommendations. | Review the data AI will access, address quality issues and establish processes to keep information accurate. |
| Performance and reliability | An AI service may become unavailable, respond slowly or change its behaviour following an update, affecting the systems that depend on it. | Plan for service interruptions, monitor performance and provide sensible fallback options where necessary. |
| Legal and compliance requirements | Depending on how AI is used, your business may have obligations relating to personal data, transparency, intellectual property or sector specific regulation. | Assess applicable requirements before deployment and review them as the solution and relevant regulations change. |
Needless to say, AI is not always required or indeed the best option to address your challenges.
Before introducing another platform or adding needless complexity into your existing set up, it's worth considering whether there are better ways to achieve the same result. Depending on what you're trying to achieve, you could consider:
Your current systems might already have features you're not using or could benefit from updates, configuration changes or enhancements.
Example: If your CRM can already generate automated reports or send follow up reminders, you might not need AI to achieve what you want. If it doesn't have this capability, you could look at adding this feature as an option which may be more cost effective and less complex than integrating an AI platform to do it instead.
Traditional automation methods still trump AI based automation in many scenarios, especially for predictable, straight forward, rule based activities.
Example: You could automatically send order confirmations, notify staff when stock levels fall below a threshold or transfer customer details between systems without the cost or complexity of involving AI.
If off-the-shelf systems can't meet your requirements, custom software can be built around your existing processes without frankensteining multiple different AI platforms together to carry out different functions.
Example: A bespoke job management system could bring your scheduling, staff allocation, job tracking and reporting into one place, with no AI required. Don't introduce complexity when it simply isn't needed.
Perhaps you don't need to build or integrate anything at all. There are thousands of off-the-shelf solutions out there that are perfectly adequate in addressing certain challenges in different industries.
Example: If you're managing your projects through spreadsheets and email, an existing project management platform might provide everything you need without the cost of custom development or AI integration.
What are you realistically trying to achieve? If it's a monthly activity that takes up 30 minutes of your time, is it really worth investing in anything? Just because AI is 'trendy' doesn't mean you have to have it just for the sake of it.
Example: No example required, just common sense.
As always with these things, there is no universal answer. The right solution depends on what you're trying to achieve, the systems you already use and the problems you're looking to solve.
If you're spending hours on repetitive, rule based activities, traditional automation might be all you need to get some time back. If your existing systems aren't communicating properly, a straightforward integration could solve the problem. If you're struggling with large volumes of information, complex enquiries or data that's difficult to interpret, AI might offer a better way forward.
And if your current software simply can't keep up with the way your business is evolving, improving it or developing a bespoke solution could be the answer.
The important thing is to start with the problem, not the technology!
You don't need to know exactly which platform you need or how the integration should work. That's something we can help you establish.
Tell us what you're trying to achieve, which systems you currently use and where you're encountering problems. Our UK based developers will help you explore the options and work out whether AI integration is the right approach and if it is, we can help you build the integration, test it thoroughly and put it into practice.
Let's talk about what AI could (or could not) do for your business, get in touch with our experienced team today.
Q) Can AI integration work with legacy software?
A) Yes, sometimes. Even older systems might be able to connect to AI platforms through APIs, databases or intermediary software. The options depend on the technology your existing system uses, its condition and how securely information can be accessed.
Q) Who maintains an AI integration after it goes live?
A) AI integrations will probably need ongoing maintenance as your existing software, third party connected platforms and business requirements change. Monitoring performance, managing updates and reviewing usage can help keep the integration in working order. We can discuss the support and maintenance arrangements that make sense for your business.
Q) Will my employees need training to use integrated AI tools?
A) That totally depends on how the integration works. Some solutions operate in the background with little to no change to your existing processes. Others might need to introduce new ways of working which may require some level of training. Where needed, we can help ensure your team understands how to use the solution and what to expect from it.
