Built to fit

Software: the problem and the solution

It is not an exaggeration to say that the overwhelming majority of companies in the UK use software in some way, shape or form. It might be limited and used only for tasks such as invoicing or collecting payments. It might be somewhat prevalent and used for a number of different tasks such as taking bookings, staff scheduling and customer service. Or, it might be used for absolutely everything. From logging on in the morning and dealing with daily tasks to customer relationship management, reporting, decision making and everything in between. So why then have we made such a bold statement as to software being both the problem and the solution?

The answer is that not all software is built equal. Software should help your business improve and uncover opportunities through efficiency, growth and scale but it can just as easily hinder these things when it doesn’t quite fit. And it often doesn't. Many businesses find themselves trying to work with too many different  systems (some doing the same thing), finding ways of making their processes work within the limitations of the software or simply having to change them altogether just to get the desired result.

The solution then, is in using the right software. This might be in the form of off-the-shelf solutions if your business operates with pretty standardised workflows or investing in custom solutions if your business processes are more nuanced. As long as the software is aligned with how your business actually operates in reality, it should become a genuine driver of performance, understanding and growth.

Common challenges you might face with off-the-shelf business software

Every business has it's own set of challenges to overcome - some unique, some not so much. When we're talking about challenges with off-the-shelf software, some are more common than others. Let's take a look at some of them:

Lack of flexibility

Perhaps the most common gripe of them all - the software isn't flexible enough. This affects a lot of off-the-shelf software solutions and becomes more problematic as companies grow. Processes have to be carried out in the way the software has deemed fit, new workflows are difficult if not impossible to implement and staff are scratching their heads wondering how to fit a square into a circle...

Limited customisation

Equally high on the list is lack of customisation. When using software for your business, you expect it to reflect certain aspects of your business. Branding, processes, the UX, workflows, so on and so forth. If the software captures very few or indeed none of these aspects, it can feel completely disconnected from your actual operations. This can lead to inefficiencies, frustrated staff (and customers) and an all round less cohesive experience for all of it's users.

A target on it's back

Off-the-shelf software can be akin to wearing a t-shirt that says 'kick me' for hackers. Widespread use makes it an attractive option to unscrupulous individuals as a single vulnerability can potentially expose a large number of businesses all at once, increasing the risk and indeed impact, of security breaches.

Integrations (or lack thereof)

Off-the-shelf systems usually have a bucket load of integration options with other popular SaaS products. However, they can rarely be integrated with existing bespoke software or software that isn't as well known that lacks a well documented or accessible API.

Ongoing costs

If there's one thing that can be guaranteed with off-the-shelf software it's that there will always be ongoing costs. Granted, these generic solutions appear cost effective initially with no or low upfront investment and 'small' monthly licensing fees but the fact is - these costs stack up. If you have ten users, each with a monthly licensing cost of £50 that's £6,000 per year. Over 5 years, that's £30,000 - all for a system you don't own and perhaps doesn't do everything you want it to anyway.

The custom advantage

At Cool Code Company, we firmly believe that custom software can provide advantages to pretty much any kind of business. Small or large, complex or straight forward, start up or established. Because it is built from the ground up to do exactly what you want it to do, in the way you want it to (taking into account your your existing systems, processes and users) it capitalises on what you already do well and makes it even better. This might be managing projects and keeping the client informed throughout, creating impeccable reports suitable for even the most data shy of execs or consolidating all data from across the business into a single source of truth. It doesn't matter - if it can be done, bespoke software can make it better. Let's take a look at some of the most commercially impactful benefits of custom software regardless of the business you're in:

Why work with Cool Code Company on your custom development projects?

The software development industry is a competitive one; there's no doubt about it and finding the right company to partner with for your development projects can be daunting. Having a thorough understanding of your priorities is a good start. If finding a partner who can work within a set budget is important, you might spend your time researching lower cost agencies or offshore development teams. If accuracy is more important, you might want to take the time to look at testimonials of the companies you research and see how other clients felt their product turned out. Perhaps you just want a reliable partner you know will get the job done and be there when you need them in future. In which case, you can spend your time looking at companies who offer flexible support services. Not all companies are a good fit for all clients - that's just the way it is. Here at Cool Code Company, we will probably be a good fit if you:

1) Have a tangible idea that can be turned into a specification

We don't need you to come to us with a full specification on what you want (although that is always welcome). We can help you build the specification and take care of the technical elements for you but we do need to be able to discuss your idea and ask questions about how you want the software to work to ensure the final result does exactly what you need it to, in the way you need it to.

2) Want to work collaboratively

We're a bit long in the tooth. That is to say, combined, we've been developing custom software for over 40 years. If we think there's a better way of doing something that is to your benefit, we will tell you. If something isn't going to work as expected, we'll let it be known. We want our projects to be as successful as much as our clients do so we like to be able to contribute in a helpful and constructive way. We will always allow you to take the lead, tell us exactly what you want to achieve and we'll then ask the right questions to help us build up a picture of the best solution based on your requirements.

3) Care more about things being right rather than being done quickly

Above all else, we want the software we build to look, feel and function as it's meant to. That means, we don't cut corners. We build, we check, we test and sometimes we repeat. That's not to say our projects take an unreasonable amount of time - far from it. We are just as keen to show you final result as you are to see it but we need to make sure it's right and sometimes that means waiting a little bit longer. As they say, good things come to those who wait!

4) Want a long term partner

Of course some good things must come to an end but we love it when our clients stick around, that's why we've been working with some of them for over 15 years! We're here for support and maintenance, enhancements, new features and upgrades. You can partner with Cool Code Company for end to end custom software projects from the initial design and scoping right through to day to day support.

5) Would like to work with a company that has a proven track record across a range of industries

We value client feedback tremendously whether it's good, bad or indifferent. It let's us know where we're doing things right and helps us to identify areas for improvement. That being said, we do our very best to make sure all experiences are positive and you can see that from our client testimonials. Should you wish to speak directly to our clients, we will always do our best to facilitate that as well so you can get a real for what we're like to work with.

6) Want a software solution that reflects an investment over the longer term

Investing in a custom software solution is not so much about short term gains (although depending on your specific situation, there could be many) but rather it’s a strategic decision that supports your long term business growth and operational efficiency. Because it is tailored to your unique workflows, custom solutions can streamline your processes, reduce the need for manual effort and improve the experience for both employees and customers.

Results you can expect

All of our clients work in different environments, have different aspirations and have different budgets and resource levels. We work with you to find solutions based on what your reality looks like and no one else's. That's the beauty of going custom. There no limitations around what you can do and no parameters you need to fit yourself into. Got a small budget? We'll tell you what we can build within that budget. Not sure how best to run a process? We'll tell you what's possible. The ultimate goal for us, is to only create solutions that make sense for your business today, whilst also giving you the flexibility to grow and adapt in the future. Here's what you can expect from a custom software solution built by Cool Code:
