Cool Code Company delivers a complete digital transformation for Sports Tours Ltd
Sports Tours Limited - an award winning provider of youth sports tournaments across the UK and abroad - has taken a major leap forward in its digital evolution thanks to a new, fully rebuilt Tour Management System (TMS) delivered by Cool Code Company.
The organisation, now part of the Rayburn group, wanted a technology platform that could match its ambitious growth plans and the scale of the events it delivers for young athletes. Following Rayburn’s acquisition of Sports Tours, the need for a stronger digital foundation became a strategic priority. With a long standing working relationship already in place between Rayburn and Cool Code Company, the partnership was a natural fit.
Legacy system no longer fit for a growing organisation
Before the rebuild, Sports Tours was operating on an ageing legacy TMS that was simply no longer able to keep up with their operational requirements. The software lacked the flexibility required to manage complex multi team bookings and provided limited visibility for staff running the tours. It also relied heavily on spreadsheets and manual workarounds that slowed processes down for all involved.
Amongst the biggest challenges:
- An outdated platform that was difficult to maintain or extend
- Manual processes used to compensate for missing features
- Limited self service options for clubs and parents
- Restricted integration capabilities
- An urgent need to align with Cyber Essentials security standards
- No digital framework for managing payments, group assignments or tour oversight
With events growing in both size and complexity, a complete overhaul of the TMS was the only logical option.

Following a comprehensive technical assessment, Cool Code Company recommended a complete rebuild of the entire platform using a modern technology stack that would provide stability, efficiency and the ability to grow and expand alongside their ambitions.
Working closely with Sports Tours internal teams, Cool Code Company engineered a fully integrated solution designed to streamline the organisation’s entire booking and tour management lifecycle.

- Automated workflows replacing spreadsheets and manual administration
- A configurable customer portal offering self service booking management, team details, accommodation information and communication tools

- Integrated payment handling including instalments, allocations and approvals
- Role based access to ensure accurate information delivery to participants
